One thing I love to do is make a wedding reception unique and different. I have done many things and I encourage my couples to ask for ideas and come up with their own.
When I saw the photo below online, the inner geek in me screemed “COOL!”

Here is a tip that could have improved many receptions that I have been to in the past. Don’t overbook the room!
Actually, most receptions don’t have the room maxed out. A hall may hold 325 people. But there is a large head table taking up room, a cake table, two gift tables, the DJ area and maybe an area for photos. All these tables and areas take up space and less room for guests.
If a room has too many guests, there is a domino effect that disrupts the entire evening.
- There is confusion and delay as guests try to navigate between tables and find their seat.
- Seating problems lead to a delay in dinner being served on time. Some facilities actually charge $50 per 15 minutes you are late serving dinner.
- Dinner starting late leads to tables being cleared later and usually it’s slower due to guests lingering around the tables or talking when a table needs to be removed.
- All the delays have lead to the first dance starting late and the guests are now getting bored and will start to leave.
There are some venues that due to their layout, have a greater problem with capacity than others. My top five places to be aware of overcrowding are:
- Just about any country club
- Liberty Hall, Kimberly
- Riverside Ballroom, Carriage Room, Green Bay
- High Cliff Supper Club, Sherwood
- Any outdoor event such as in a tent
My advice is to keep track of who is on your potential guest list and book a room that can easily handle that many. If it’s close, try to limit the guest count during dinner and allow anybody to show up after 8:00 such as coworkers, family acquaintances and friends of extended family.
Keeping your guest count in check for dinner will make dinner more enjoyable for everybody, keep costs down and ensure things keep moving and on time.
